Reporting Incidents

How do I request reimbursement?

If you need to file a request for reimbursement for damage to your personal contents or displacement costs relating to the Property Damage Liability Waiver Program, please contact your property manager within 48 hours of the incident.

The property manager will forward your request and information to Foxen, and Foxen will notify the Waiver incident administrator.

If your unit is unable to be occupied during this period, please work with your property manager to secure alternative living arrangements.

• If you must pay for alternative living arrangements (displacement costs), keep all receipts for review.

• Please consult the materials provided by your property manager to clarify whether the Property Damage Liability Waiver program you enrolled in includes reimbursement for personal contents damage or displacement costs, and, if so, for which incident types.

• If the accident is within the scope of the Property Damage Liability Program you are enrolled in, and if the total cost of damage in the incident does not exceed the program limit after payments have been made to the Property and other residents impacted by the same accident, you may be able to receive reimbursement for your temporary alternative living expenses or personal contents up to your Program limits.

If you have any questions, please contact your property manager or submit inquires to claims@foxen.com.

As a reminder, the Property Damage Liability Waiver applies to certain accidental property damage caused by an enrolled Resident, like you, from fire, smoke, explosions, and water discharge and overflow. Please refer to your lease or the materials Foxen or your property manager shared with you for more details.

How do I report an accident that falls under the Property Damage Liability Waiver?

Foxen requires that you notify your property manager within 48 hours if you accidentally cause damage to the Property.

Your property manager will report the incident. They will ask you for certain information about the accident so they can fill out an Incident Report, which includes:

• Contact information of all the involved parties, including yourself.

• A description of the incident, including the date/time that it took place, how it occurred, and the type of loss that occurred (fire, smoke, explosion, water discharge/overflow).

• Pictures and any other available documentation of the damage.

Once the Incident Report is submitted, an adjuster will be in touch with your property manager within 24-48 business hours.

As a reminder, the Property Damage Liability Waiver Program applies to certain accidental damage that an enrolled resident negligently causes and where the damage is from fire, smoke, explosions, and water discharge/overflow. For more details on what your Property Damage Liability Waiver Program includes, please check your lease and/or Program Announcement from your property manager.

What types of damage to personal contents are included in the Waiver Program?

This varies depending on the Property Damage Liability Waiver Program type that your property manager selects. You may be eligible for reimbursement for living expenses or your personal contents if they were damaged in a covered accident. These benefits are all subject to Program limits and the terms and conditions in your lease or the Program Announcement you received from your property manager.

If your Property has a Waiver Program that includes reimbursement for personal contents, you may be eligible to receive reimbursement where you have accidentally damaged the apartment building and your personal contents were damaged in the same incident. Also, the damage must have resulted from one of the following perils:

• Fire

• Sudden and Accidental smoke

• Explosion

• Water or other liquid which leaks, flows, or overflows from plumbing, heating, air conditioning, other equipment or fixtures, or personal contents

Keep in mind that the Waiver Program is not insurance and does not result in an insurance policy to you. You should consult an insurance professional for advice on whether you should purchase a renters insurance policy.

What happens after an incident report is submitted by the Property Manager to Foxen?

Foxen will refer the loss to the claims administrator within 24 business hours of receipt. The claims administrator will assign an adjuster and reach out to the necessary parties within 24-48 hours of matter assignment.

How long does the incident reimbursement process take?

The processing time for reimbursement requests typically varies based on the severity of the loss. On average, incident reports take under 30 days to process.

If your Property Damage Liability Waiver Program includes the opportunity for personal property and displacement cost reimbursement,  reimbursement requests will be determined after the property has been reimbursed for its damages.

How do I check the status of the claim?

Please check in with your property manager regarding the status of the claim.

What do I do if I cannot live in my unit?

Please immediately notify your property manager. You should keep a record of any out-of-pocket expenses. If you are eligible for reimbursement for displacement costs under the Property Damage Liability Waiver Program, the incident administrator will assess the specific amount to be reimbursed based on the facts of each incident.
